The recommended method for entering costs is to use the SpirALS Support Cost Wizard. The Support Wizard is particularly useful for entering costs to groups of students who are all having the same support.

 

Please note that an alternative method for auto-creating on-going support programmes is recommended for TEAM users

 

To open the Wizard go to Main Menu > 2) Enter Student and Support Cost Records > Support Wizard. (And other locations where you see the button with the label 'Support Wizard'.)

 

 

 

The wizard allows you to enter costs to a single or to multiple students for: all students, a hand-picked selection, for filtered or saved groups.

 

See Working with Groups for more information on saving groups of students or Filtering students to select a group using selection criteria - such as all learners on a particular course.

 

To hand pick a selection of students and add a support cost item:

 

1.Select Multiple Students > Hand Picked > Search for & Hand Pick
2.Click to highlight a student for selection, then hold down the Control key and click on the next student and so on until you have a selection of hand picked students.
3.Click Select & Return
4.Choose a Type of Support Record - either estimate, actual, estimate and actual or (recommended) estimate and actual with costs set to zero (actual costs can be entered as they happen or at the end of the year).
5.Click Next (Enter Support)
6.Enter Support Details
7.Click on the button 'Next (Review Item Batch). At this stage, additional editing can be made to individual students within the batch (such as times, hours and days). Note that certain fields, such as the hourly rate, are fixed and cannot be edited in this table.
8.Click on the button 'Finish & Save Items', giving a name to this batch (the date of the batch will be saved by default)

 

Other Support Wizard selections:

 

All students - selects all students

Current Browse Filter Selection - displays students that have been filtered and are currently being viewed on the Browse Filter Students form.

Saved Filter - displays students in a selected saved student filter selected

Student Group - displays students in a selected student group

 

Students can also be selected by clicking to highlight and by using ctrl and shift keys to make a random group selection.

 

After selecting the required list of students, follow steps 4 to 8 above.
